To maintain academic integrity and comply with institutional security guidelines, Proctortrack requires a Room and Desk Scan for learners whose institutions have mandated this procedure. This scan ensures that the exam is conducted in a secure, private, and compliant environment, free from unauthorized materials, devices, or distractions.

This guide provides clear instructions on how to correctly perform the scan, outlines the required room and desk conditions, details environments that are not permitted, and explains how to set up a mobile phone view when applicable.




How to Complete the Room and Desk Scan

During the Room Scan step in Proctortrack:

  1. Click the ‘Scan’ button to begin.

  2. Provide a 360-degree view of your room, including:

    • All corners of the room

    • The area above, on, and under your desk or table

You may perform this scan using one of the following methods:

  • Pan your webcam around the room



  • Use a mirror to reflect areas if the webcam is fixed



  • Pan your laptop if using a built-in webcam



Ensure the scan is steady, slow, and well-lit to avoid blurs or missed areas.



Room and Desk Scan Requirements

 Valid Room Scan Requirements

To pass the room scan:

  • The room must have blank walls — no posters, whiteboards, or visible notes.

  • The room should be a closed, private space.

  • It must be isolated — no other individuals present, and no high-traffic environments.



Room Scan Rejection Scenarios

Your room scan will be rejected if:

  • You are in a public place: libraries, classrooms, cafes, or shared office cubicles.

  • The room is poorly lit or too dark.

  • You are sitting in front of visible bookshelves or stacks of books.

  • The room appears to be a storage room or cluttered space.

  • You are taking the exam in any of these prohibited spaces:

    • Student lounges

    • Conference rooms

    • Office cubicles in high-traffic areas

    • Libraries



Valid Desk Scan Requirements

Your desk scan must show:

  • clear, clutter-free surface

  • No unauthorized items such as:

    • Calculators

    • Dictionaries or books

    • Multiple cables (especially RGA, HDMI) unnecessarily plugged in


Desk Scan Rejection Scenarios

Your desk scan will be rejected if:

  • There are multiple hardware items, such as:

    • More than one mouse

    • Second keyboard

    • Printers

    • Additional mobile devices, iPads, or tablets

    • Gaming consoles (e.g., Xbox)

    • Action cameras (GoPro)

    • Multiple monitors

    • Additional webcams

Ensure your desk surface is organized, with only exam-approved equipment present.


Mobile Phone Camera Positioning Requirements (If Applicable)

If your exam requires a mobile phone as a secondary monitoring device:

The phone’s view must clearly display:

  • Your monitor or laptop

  • Keyboard

  • Mouse

  • Desk surface

  • You (the learner) in frame

Phone Placement:

  • Position the phone either to the left or right side of your workspace.

  • There’s no fixed distance, but it must clearly capture all required elements.

  • The phone should be placed on a secure stand or stable surface to maintain a steady, uninterrupted view throughout the exam.

  • Complete your room scan slowly and thoroughly.

  • Avoid cluttered or non-compliant environments.

  • Ensure proper lighting in both the room and desk areas.

  • Verify mobile phone setup (if required) before starting your exam.
