Getting Started
Proctortrack is an automated remote proctoring solution designed to monitor online exams securely while maintaining academic integrity. The Onboarding Test serves as a practice assessment that familiarizes students with the actual proctored exam experience and verifies whether their system meets the required proctoring standards.
During onboarding, you’ll be asked to complete a face scan, ID scan, and, if applicable, a room scan — following the same process as in a real exam. Once submitted, these scans are reviewed for accuracy. Approval of your onboarding profile is based on the successful completion of these scans.
Important: The room scan submitted during onboarding is not reviewed. Always follow your institution’s guidelines for the room scan when taking your actual exam.
Before You Begin
You'll need:
A well-lit, quiet environment
A government-issued photo ID
An HD webcam
5–10 minutes of uninterrupted time
Recommended Browser: Google Chrome (unless otherwise specified by your institution)
The Onboarding Process
1️⃣ Access Your Onboarding Exam
Sign in to your LMS or testing platform
Select your course
Open your Onboarding Exam
Download, install, and launch Proctortrack when prompted
You’ll typically receive an onboarding exam invitation within two weeks of your scheduled exam date via email. If you don’t receive the email, check your spam or junk folder, or contact Proctortrack Support at 1 (844) 753-2020.
2️⃣ System Check
Your system will undergo a 7-point automated check to confirm compatibility.
Follow on-screen instructions to:
Unplug unauthorised devices
Close any restricted applications
3️⃣ Face Scan
This step creates your biometric profile for identity verification during actual exams.
For best results:
Sit against a plain background
Ensure your face is evenly lit with no backlighting
Frame your entire face in the camera view
Remove sunglasses, hats, or headphones (religious head coverings are allowed with prior institutional approval)
Follow on-screen prompts to turn your head when asked
Tip: Position yourself properly before clicking Start Scan.
Common reasons for scan failure:
Poor lighting or shadows
Face partially outside the frame
Covered face
Not following prompts
If the scan is rejected, carefully follow the on-screen instructions and retake the scan.
4️⃣ ID Scan
This step verifies your identity using your government-issued photo ID.
For best results:
Use a valid, institution-approved ID
Hold the ID steadily within the on-screen outline
Ensure all text and your photo are sharp and visible
Avoid covering text with your fingers
Use the Rotate ID Outline button if necessary
Pro Tip: If focus issues occur, gradually move the ID closer to the webcam until the text is sharp.
Common reasons for scan failure:
Blurry or poorly lit images
Text covered by fingers
ID held too far from the webcam
Expired or invalid ID
You may retake your ID scan as often as needed to ensure clarity before submitting.
✅ After Onboarding
Once your onboarding test is submitted:
You’ll receive a processing email
A final email will confirm approval, or you’ll be notified with specific instructions if any scans need to be resubmitted
You can also check your onboarding status at any time via the Proctortrack dashboard.
Checking Your Onboarding Approval Status
Your Onboarding Status is visible at the top right corner of your student dashboard. This status confirms whether your scans have been approved or if any actions are required.
? Important: Always complete your onboarding at least 2 days prior to your actual exam date to allow time for review, approval, and issue resolution. Late onboarding increases the risk of delays or ineligibility on exam day.

Why Did My Onboarding Profile Fail?
Your onboarding profile may not be approved for the following reasons:
Missing or incomplete facial scan
Missing or incomplete ID scan
Invalid ID (e.g. expired, illegible, or incorrect document)
Poor environmental lighting affecting scan clarity
If this occurs, you will receive a detailed email notification and instructions to resubmit the affected scan(s).
