What is Proctortrack?


Proctortrack is the automatic remote proctoring solution your institution has selected for use during online tests/assessments. More information about Proctortrack’s privacy policies and technologies used can be found on our website.  


How does it work?

 

The following guide will assist you, the test-taker/student, in going through the process of taking a proctored test/assessment with Proctortrack. Why onboarding?


Attempting the Onboarding creates the baseline profile of the students in the Proctortrack System. Often students are unsure whether their specific hardware setup will allow them to use Proctortrack. The Onboarding process gives students the opportunity to make sure everything is working correctly during low-pressure circumstances by attempting the sample test. It also gives students time to make any changes to their system well before the first exam. Keep in mind that Chrome and Firefox are the recommended browsers.  While Proctortrack will work in other browsers, the user experience is far superior in Chrome.  Having an approved Onboarding profile is required in order to be eligible to attempt the actual tests. The Onboarding process will include attempting a non-graded sample test.  


Students can fail the Onboarding for the following reasons: ● Missing or insufficient facial scan. ● Missing or insufficient ID scan. ● The ID scan shows an invalid ID. ● Insufficient environment lighting. 

 

If a student fails the Onboarding exam, they will receive a notification listing the specific reasons for failure and be asked to retake the Onboarding test.

This manual will provide steps on :


1. How to attempt the Onboarding exam. 

2. How to attempt a Live proctored test/assessment for Trilogy using Proctortrack on an External Test Delivery                Platform (CCAT). 

 

What do I need to take an exam using Proctortrack?

Here are Proctortrack's system requirements: 

1: Operating System-> Windows 7 or higher, Mac OS X 10.13 or higher with a minimum of 2GB free space. 

2: Processor/RAM -> Dual-core 2 GHz CPU, 2 GB RAM or better (Windows), Intel Processor, 2 GB RAM or better(MAC). 

3: Browser-> Chrome 25.0 or higher, Mozilla Firefox 20.0 or higher, Internet Explorer 9.0 or higher, Safari (Chrome preferred). 4: Javascript Enabled & Third Party Cookies Enabled. 

5: Web-Cam Resolution -> 800x600 or better (and a working Microphone). 

6: Internet Connection -> Cable Modem, DSL or better (300 kbps download, 250 kbps upload). 

 

You will also need your Android phone or iPhone for this Live Proctoring Exam. The Smartphone is required for the room scans as well as acts as a secondary camera for Live Proctoring.  It is recommended to install the Proctortrack App from the iOS App Store or Android Play store, before starting the assessment. 

 


How to attempt the Onboarding exam? 

 

1. Log in as a test-taker/student on https://testing.verificient.com by entering your Username and the corresponding Password before clicking  ‘Sign in’.  



2. Click on the ‘Go-To Test List’ button. 





3. This is the Proctortrack Dashboard. On the top, you have the Onboarding status. Normally, Every Test-taker needs to have an approved Onboarding Profile, before attempting any actual tests/assessments. 


 A “Passed” Onboarding Status (Profile) is required in order to attempt any actual assessments/exams.  

 The available test/assessment cannot be attempted from the student account without a passed Onboarding profile.



4. On the Proctortrack Student Dashboard, you have the list of tests/assessments below. Click on the “Go to Test” button for the test/assessment you would like to attempt.  

 

First, we will attempt the Onboarding Exam. Click on the “Go To Test” button for the Onboarding Exam. 



The Onboarding Exam is just a sample test to create the baseline profile of the test-takers. 


5. a.  Read the “How it works” tab on the top, to further understand the steps required. Click the “Next” button to scroll through the steps.






6. Scroll down to go through the “Let’s Get Started” section, to understand the guidelines for a proper testing environment. 




7. Scroll down further to find the "General Guidelines” section. These are generic exam guidelines for the test-takers understanding.



8. Scroll down again to find the 'Instructor 's Guidelines for the Current Test'



9.  After getting familiar with all the guidelines, check the box (at the bottom) labelled “ 

I have read, understand and will adhere to the required environment guidelines.” Click “ Go To Next Step. 



9. This is the Download page. Proctortrack will attempt to automatically start the download.  or, If the App was downloaded during any previous tests/assessments, the download page will detect the downloaded app and bring forward a pop-up window to click on “Open Proctortrack” to launch the application. or,  click “here” to download the Proctortrack app manually. 



10. Click on the ‘Download Proctortrack’ button and the Proctortrack app will start downloading.  



11. Open the Proctortrack.zip/Proctortrack.exe file that downloads. 




Using Proctortrack for Onboarding

 

 1. Once Proctortrack has launched, check the box labeled “I confirm my consent, agreement, and acknowledgment as described below”  and click on “Start System Check”.


2. The system check will run to verify that the system is ready.


3. Make sure to fill the frame before clicking “Scan”. After that, follow the on-screen prompts.



4. If dissatisfied with the scans, click “No” to take the scan again. Otherwise, click “Yes” to proceed. 



5a. For the ID scan, please go through the instructions for a valid photo ID scan and click “NEXT.”


5b. For the ID scan, hold a valid photo ID up to the camera and click “Scan”. 




6. Make sure to fit the ID (Driver’s License or Student ID), within the frame and hold it steady so that it’s clear. Click“No” if not satisfied with the scan. You can rescan the id as many times as needed or click “Yes” to proceed. 


7.  Review the Exam Guidelines and click on “ I agree, Let’s Begin” . 



8. Proctoring has now begun. A blue border will be placed around the screen as a reminder that Proctortrack is now in session.

  

 This is the sample test. Click on the “Launch Test” button to start the sample test.  



9. Once you have submitted the sample test/assessment, click the“End” button on the top-right corner to end proctoring.       Check the box next to “Yes, I have completed and submitted my exam.”. Finally, click “End”.



10.      The session data will be automatically uploaded to Proctortrack.



 11.       The Onboarding is now complete! Either button seen here will close Proctortrack. 



Once the Onboarding profile is approved, you may proceed to attempt your proctored exam using Proctortrack. 



 How do I take tests/assessments with   Proctortrack (Live Proctoring)?



1. Login to your student account again and go to the Proctortrack Dashboard to check the Onboarding status at anytime. On the top-right you have information on the Onboarding status. Once the Onboarding status shows “Passed”, you may schedule your live proctoring exam. 



2. You may click on the ‘Onboarding Data’ tab to view the scans of your Veripass profile.



Scheduling a Live Proctoring Exam. 


1. Click on the ‘Schedule’ button for the Exam with Live Proctoring.



2. Select the date and time within the period the test is open for,  to schedule the Live Proctoring test.



3. Click on ‘Schedule a session’ button to confirm and then click ‘Ok’.


4. You may reschedule the exam by clicking on the ‘Requested’ button.



5. Here you may ‘Reschedule Exam’ or ‘Cancel This Event’ that was earlier scheduling.



6. Once the scheduling is confirmed, you will be able to see the button change to ‘Confirmed’. You shall also receive an email notification for confirmation of your scheduled exam.  Click on the ‘Confirmed’ button.




 7. The ‘Go To Test’ button shall become active at the Exam’s scheduled start time. 



8. Click on the ‘Go To Test’ button once the exam is open to proceed.



Attempting a Live Proctored Exam 


1. To begin a live proctoring exam, you are required to schedule the exam as shown above, before the time period suggested by your instructor. Click on the ‘Go To test’ button once the scheduled time is confirmed and the exam is open. 



2. This is the best practices page. Scroll down to go through the ‘Let’s Get Started’ section, to understand the guidelines for a proper testing environment.



3. Scroll down further to find the ‘General Guidelines’ section. These are generic exam guidelines for the test-takers understanding.



4. Scroll down further to find the ‘Instructor’s Guidelines for the Current Test’ section. These are exam guidelines on what is allowed and not allowed based on the configuration for this exam.

6. This is the Download page. Proctortrack will attempt to automatically start the download.  or, If the App was downloaded during any previous exams/tests, the download page will detect the downloaded app and bring forward a pop-up window to click on 'Open Proctortrack' to launch the application. or,  click 'here' to download the Proctortrack app manually.



7. Click on the ‘Download Proctortrack’ button and the Proctortrack app will start downloading.




8. Open the Proctortrack.zip/Proctortrack.exe file that downloads. 




9. The Proctortrack app will install when launched for the first time on a computer. Click on ‘Yes’ to proceed.



10. Click on the ‘Next’ button to proceed with the installation.



11. The Proctortrack App will launch once the installation is complete.



Using Proctortrack for Live Proctoring 



1. Once Proctortrack has launched, check the box labeled ‘I confirm my consent, agreement, and acknowledgment as described below’ and click on ‘Start System Check’.



2. The system check will run to verify that the system is ready.


3. This is the Automated Face Scan. Please align your face in the outlined area and the scan will automatically begin. After that, follow the on-screen prompts. 



4. Once the face scan is successful,  you shall see the following message on the screen with your student account name.



5. In case the automated Face Scan verification Fails due to certain reasons. The Proctortrack App provides 3 attempts.  On failing the 3rd time, a one time secret code is sent to the test taker's email as shown below. 

Click on ‘Confirm and Proceed’ after entering the code.



6. This step is to connect the Mobile App to continue with the Room scan and monitoring.




 7.  Mobile App: Download and open the Proctortrack Mobile App on your Android or iOS (Apple iPhone) device from the ‘google play store’ or the ‘Apple Appstore’.   Check the box titled ‘I agree to Terms & Conditions and Privacy Policy’ 

and then click on ‘Next’.  


8. Mobile App: This is the System check step. Click on the ‘Start’ button to begin the System check on the phone. After the System check, the Mobile app will open the Camera to scan the QR code on the Desktop App.  



9. Proceed to scan the QR code on the Desktop app using the mobile app as shown below. 



10.  Once the Mobile App is connected, it will proceed to the 2-step room scan. Read through the instructions and click on ‘Start’ to proceed.



11.  Once the Room scan is complete, the Mobile App will provide instructions on how to place the mobile phone on the desk to continue with the monitoring and the test. Please follow the instructions and ensure that you are visible on the display when the front selfie camera is active. Position your phone as shown in the example below. 



12.  Get back to the Desktop app and click on ‘Take me to the Next Page’, to proceed to your exam.



13.a. Proctoring has now begun. A blue border will be placed around the screen as a reminder that Proctortrack is now in session.  You may hide the video window by clicking on the “Hide” button in case it is a distraction.  

 The Event ID required to begin the assessment will be provided by the Live Proctor via the chat window on the bottom-left of the screen. 



13.b. At any point, if the mobile app quits or there is an issue with the mobile app. To continue with the session, click on the QR code button on the top border of the desktop app, and then scan the QR code again using the Proctortrack mobile app. Click on ‘Return to Exam’ to continue.



14. Continue with the instructions and steps on the ‘Criteria Assessment Center’ platform.  Please attempt the test you normally would in a testing center environment.  

 

Remember to ‘Submit’ the assessment once it is complete.  Once you submit the assessment, click the 'End' button on the top-right corner to end the proctoring. 



15.  Check the box next to 'Yes, I have completed and submitted my exam.' Finally, click 'End'. 



16  The session data will be automatically uploaded to Proctortrack. 



17. The test/assessment session is complete! Either button seen here will close Proctortrack. Proctortrack will have to be run before each proctoring-enabled test/assessment. Click'QUIT APP' to save the application for use with later tests/assessments,  or click 'Uninstall' to remove Proctortrack from the current machine. Keep in mind 

that an opportunity to download Proctortrack  will be given before each proctoring-enabled exam/assessment




You may now End the session on the Proctortrack Mobile App as well.
